Information we collect

When you submit a quote request, Books X-Ray request, or contact form, we collect the information you enter, such as your name, email address, company name, accounting software, the service you need, and a description of your needs.

If you attach a file to a form, we receive that file. Please do not upload Social Security numbers, full bank or card account numbers, or passwords through the website forms. If documents with that kind of information are needed for an engagement, we will arrange a more secure way to share them.

Like most websites, our web host also records standard server logs, such as IP address, browser type, and pages visited, for security and performance.

How form submissions are handled

Form submissions, including any attached files, are delivered to us by email through Google (Gmail) and a copy is stored in the website’s administration area so that no request is lost. Only Ashmore Books staff can access these submissions.

How we use information

We use the information you provide to respond to your inquiry, review your books, prepare a quote, and deliver services you engage us for. We do not sell or share your personal information for money, and we do not use it for third-party advertising.

Accounting and tax data

If you engage Ashmore Books, you may provide access to accounting files, bank statements, payroll reports, and tax documents. This information is used only to perform the agreed services, is shared only with the people and systems needed to deliver those services, and is handled in line with applicable U.S. federal tax confidentiality requirements, including IRS rules on the use and disclosure of tax return information.

Cookies and analytics

This website uses a small number of essential cookies needed for the site to work, and Google Analytics to understand how visitors use the site, such as which pages are viewed, how visitors arrive, and roughly where they are located. Google Analytics uses cookies and receives your IP address to produce these reports. We use these reports only to improve the website.

The site also loads fonts from Google Fonts, which means your browser connects to Google’s servers when a page loads.

We use a small number of service providers to run the website and our business, including our web host (Hostinger), email services (Google and Zoho), and Google Analytics. These providers process information on our behalf to provide their services.

Data retention

Inquiry information, including attached files, is kept for as long as needed to respond to your request and for a reasonable period afterward, then deleted. Client records are kept as required by professional and legal obligations.

Security

We take reasonable administrative and technical steps to protect the information we hold, including access controls and keeping the website software up to date. No website or email system is completely secure, so please avoid sending highly sensitive information through the website forms.

Children

This website is intended for business owners and is not directed to children under 13. We do not knowingly collect information from children.

You may request access to, correction of, or deletion of the personal information you have provided by emailing info@ashmorebooks.com. We will respond within a reasonable time, subject to any records we are required to keep.
